Appendix F - Instructions for Check Lists

  • Checklist overview
    • Can create different checklists, but only one checklist cab be assigned to a property initially
    • Can use New List button in checklist area of a property to assign additional checklist(s), (combines its line items with the checklist items currently assigned to the property)
    • Designed to create a checklist for each property type (Residential, Vacant, etc...)
    • Checklist contains three item categories:
    • Seller
    • Buyer
    • Both
  • Items are activated by agent assignment:
    • Listing agent assignment activates Seller and Both category
    • Selling agent assignment activates Buyer and Both category
  • Create a Checklist:
    • Go to Properties Tab on main screen
    • Click on Check List Setup icon
    • Enter title for checklist (e.g., Residential Checklist, etc…)
    • Enter line items and select category and enter frequency for each
    • Items/Entries do not sort in the checklist setup area
    • Can assign frequency to each item to establish due date
        • Enter 0 if item is due automatically
        • Enter 1 or more to establish a projected due date
    • Seller, Buyer and Both items will calculate due date from the property Trigger Date option
    • Active setting can toggle list on/off in dropdown selection
  • Assign checklist to a property
    • Go to property
    • Ensure agent is assigned to property
    • Click Check List button
    • Select appropriate checklist (Do not assign same checklist more than once; will duplicate items)
    • Items do sort when assigned to a property (first sort by Due date; secondary sort by numeric/alpha)
    • Activate Auto Check List function
      • Go to Setup Tab
      • Click on Change Company Information Icon
      • Click on Misc Tab
      • Enter check in Auto Check Lists box (Activates Check list box to pop up to assign check list whenever Listing agent1 or Selling Agent1 is selected in the Agent Tab of the property record)
  • Review/update checklist of a property
    • Go to property
    • Click Check List button
    • Enter Completion Date or notes as appropriate
    • Print Current button will print out all items in checklist of current property
    • Print All Incomplete button will print list of incomplete items for “all” properties
  • Incomplete Check List Tasks Report (Under Property Reports)
    • Displays list of “overdue” items for all properties
    • Due Date of item must be current/exceeded to appear on report
    • Completion Date must be entered to remove item from the report; Property status has no impact
  • Checklist Calendar (On Properties Tab)
  • Displays list of events due each day (Daily To Do list) (Can enter a Completion Date)
