Chapter 16 - Entering Listing/Pending Properties

In Property Tab

  • Enter street address in Address one field or:
    1. Recommend using abbreviations when item is a non standard entry
    2. Ref: and street address or company name can be used when the property is from a referral transaction (e.g., Ref: 1234 Main Street)
    3. Other possible entries may include HMW (Home Warranties);  Bulk (for bulk property entries); Bonus (for processing end of year bonus);
  • Use Address two field for additional data such as Suite #
  • Only enter pertinent data (Enter List Date, Exp Date, and List Price if your property)
  • Listing/Selling Office fields => Select appropriate office (double click on field to open Office Setup form and enter new office); Select “Not Assigned” for office if none is applicable
  • Sale Price field=>  Enter sales price once known
  • MLS field=>  Enter MLS # if desired (Has verification check in field to monitor for duplicate entries)
  • Property status field:
    • Listed =>  Default
    • Pending  =>  Select once offer accepted on property (In-house or Co-Op)
    • Expired =>  Select when property listing lapses
    • Off Market => Select when listing is removed (i.e., Withdrawn) from the market
    • Cancelled => Select when an offer falls through (i.e., Bombs)
      • Button to the right of the status box is to be used when assigning cancelled status to a listing record that pended and failed to generate a replacement listing record or transfer marketing activities from the failed record to an existing listing record   
      • Button only works with the Cancelled status
      • Crest EDG Import will automatically cancel the pending listing record and generate a new listing; Crest EDG users must use this button to transfer marketing activity data from the old listing record to the new listing record as soon as new record is imported to ensure timely transfer of marketing data
    • Closed =>  System assigns during commission check generation process
      • Can enter manually if check process not used, but must also enter the date closed in the Closed Date field
      • Closing a property will activate the locks in upper right of the property record
      • Must unlock property to makes changes if a property is closed
    • Leased => Select for rental properties
    • Deleted ->  Select only if you need to delete the physical record
  • Date Fields:
    • List Date => Date listed (must be filled in to show property as “Listing” when using reports based on a date range)
    • Expiration Date =>  End of listing period (must be filled in to show property as “Expired” when using reports based on a date range) (Note: System does not automatically assign Expired status, it must be selected)
    • Projected Date => Projected closing date (Must use for Income Projection report)
    • Sale Date => Date offer accepted (must be filled in to show property as “Pending” when using reports based on a date range)
    • Off Market => Date property is Withdrawn or is Cancelled (Sale falls through)
    • Close Date => Date property closed [Entered by Pro Gold XP during commission check process] (Note: Must also assign “Closed” property status when entering date manually)
    • Next Progress Report Date => Date must be populated to use Progress Reports
  • Property Type:
    • Types available include Residential, Commercial, Vacant Land, Multi Family, Other, Exempt, New Construction, Rental
    • Default =>  Residential
    • Exempt => Excludes the property from the agent’s level calculation.  Data from this property type is not applied to the agent’s commission plan parameter (e.g., gross income for agent earnings, listing or selling volume for total volume, units for total units, etc…)
  • Vehicle field:
    • Records how property was entered
    • Displays user ID if entered manually
    • Displays Crest if from the Crest EDG import; displays MLS if from an MLS import
  • A property can be deleted once entered:
    • A duplicate property record can be changed to another property address
    • If delete is desired: change the property status to deleted and run the file maintenance option on the main Properties Tab to remove it (Note: system will not delete a property that has marketing activity or escrow transactions)
